Support staff can begin the submission process by depositing manuscript files into NIHMS, but they cannot complete the process. The Submitter is required to designate a Reviewer. Reviewers must be a manuscript co-author or the PI of the grant. Submissions must be approved by the designated reviewer to complete the submission process.     

Login to NIHMS

Important! Use the same login method each time you access the NIHMS system. Manuscripts are linked to the account by which you accessed the system.

  • Go to www.nihms.nih.gov/  
    • Faculty - Login using your eRA Commons
    • Administration/Support Staff - Login using More login Options (instructions here). 
      • Once logged in, you will be re-routed to the NIHMS site.

Begin the Submission Process

You must have a copy of manuscript on hand. You cannot upload the final published version of the manuscript unless it is open access. The version uploaded should be the final-accepted version. Ask the library if you are unsure about which version you have.

  1. Click on Submit New Manuscript 
  1. Enter the PubMed ID. This will populate the manuscript and journal title. Choose Next.
  1. Search by grant number or PI last name to attach the appropriate funding support. If you do not know which award supported the manuscript, you can skip this step and leave it for the Reviewer to complete. Choose Next.
  1. Upload the manuscript files. Name each file something simple. Mark the checkbox certifying that you have uploaded all required files. Be sure the manuscript is complete, including figures, tables, and supplementary materials. The NIHMS system will reject incomplete or inaccurate submissions.  Choose Next.
  1. Designate a Reviewer (it must be a manuscript co-author or PI) and select the appropriate Embargo period. If you are unsure about the embargo period, the 12-month period can be selected as the safest option.
  1. In the final step, read and agree to the Submission Statement

The Reviewer will receive an email from the NIHMS system with detailed instructions about providing approvals. Submissions must be approved by the designated reviewer to complete the submission process.
